We are working with a highly established Finance Firm that is seeking a highly motivated and confident Executive Assistant to join the business on a permanent basis. You will be working from their central London office 3 days a week and 2 days from home.

 

What you will be doing:

  • Managing diaries, scheduling appointments, and coordinating with associates and clients.
  • Overseeing travel arrangements, including booking transportation and accommodation.
  • Managing 2 x director’s inboxes, handle phone queries, direct calls, and take messages.
  • Supporting the directors with formatting documents such as reports, proposals, presentations, and contracts, ensuring high-quality standards and version control.
  • Contributing to general administrative tasks, continuously seeking ways to improve processes in collaboration with the Business Development Manager.
  • Organising internal and external meetings, prepare agendas, take minutes and ensure that follow-up actions are tracked and completed.
  • Managing internal and external events, conferences, and marketing activities. Update the website and social media platforms, assist in creating publicity materials and coordinate logistics for exhibitions and conferences.
  • Working closely with the Finance team to support project invoicing, process expenses, and manage financial queries

 

Experience needed:

  • Degree level education or equivalent desirable
  • Previous professional EA or Exec PA experience in a fact paced office environment
  • Excellent communication, administrative and interpersonal skills,
  • Has the ability to work well under pressure
  • Proactive and highly organised with a keen eye for detail.
  • Good computer skills including MS Office Suite, Word, Excel, Outlook, and PowerPoint.

 

Salary and Benefits:

  • £46,000 – £48,000 DOE
  • Annual performance bonus
  • 28 Days Holiday + Bank Holidays
  • Statutory Pension Scheme
  • Monday to Friday only – 37.5 hours per week
  • Flexible working hours / hybrid options
